Talent Sharing

The talent sharing function allows JamarGig admin to share talent directly from the talent database to other account users or external users.

For all account users there will be a new main menu on the left called “Shared with me”. For admin users (people who can share) there will be another menu called “Shared by me”.

Creating Shares

To share talent the user can select talent from the talent database. After selecting the talent you can then select “Share” from the actions button drop down.

Once share is selected a share dialog box will display.

The share dialog box will display the number of talent being shared and also provide multiple options:

  • Share name: This is the name of the share and is used to select the group of talent shared

  • Share with: This allows the people who the talent are going to be shared with to be entered. When this box is selected pre-existing accounts will be displayed in a drop down. As the user types the list will filter. The user can also continue to type in an email address that is not in the account for external users. Once a user is entered a pill will be displayed with the recipients name or email address will be displayed

  • Share the following Profile sections: This represents all the main sections of a profile that can be shared.

  • Share the following Media Type: This represents the different media types from all talent profiles that will be included in this share

  • Choose Media: If this button is selected another dialog will be displayed listing all the talent that have been selected to be shared in a expandable accordion. When expanded all media for each profile will be displayed which will allow the user to select which specific media is to be included in the share. Note that by default all media is selected.

To view the media just select the thumbnail and you can view the media in full view so you know what you are sharing.

Once media is selected a message will be displayed under the button denoting that specific media has been selected from individual profiles.

  • Share Access: There will be two options

    • Restricted Access (Requires an Account): When the share link is selected the recipient must have an account to access. So they can either login or create an account to access. Only users with the emails specified in the share list will be able to view the share

    • Anyone with Link (does not require an account): This will create an open link that when selected will take the recipient directly to the share. Note that if a user is logged in and they are in the recipient list for the share they will also be able to access the share from the “Shared with Me” menu.

  • Expires: This is either set to never (the access has no expiry date) or can be set to a specific date which will remove access to the share once the date passes.

  • If restricted Allow who have an account to:

    • Add Evaluation: Allow share recipients to evaluate talent based on four selection options. Each selection gets an assigned score:

      • No - 0%

      • Unsure - 50%

      • Yes - 75%

      • Strong Yes - 100%

    • Add Comments: Allow each share recipient to add comments in each shared talent

Once the selections are set the Next button can be selected. Another dialog box will then display allowing the user to copy the share link if they want to share manually to recipients, a text box to update the message sent to recipients from the previous design.

The user can then select “Send” to send the message to the recipients. If “Close without sending” is selected the message will not be sent. If “Back” is selected the share can be modified.

Managing shares created by Me

Once the share has been created and sent the share will appear in the “Shared by me” menu.

If I am an Admin user there will be multiple tabs. One to see all shares I created and another to see shares created by other users and a 3rd the shares Shared with me. This will enable Admin to manage shares by other users if required.

The table will display the name of each share, the people who the share as been sent to, the expiry date and whether the share is open or restricted.

The Shared by others can also be managed by Admin. The table also includes the column to show who the share was Shared By (person who created share).

There are quick links for each share to copy the share link, delete the share and open the share.

When the link option is selected the link is directly copied to the users clipboard.

If the share is deleted a confirmation dialog will be displayed. After confirming, access to that share will no longer be available.

When the share is opened the talent selected for the share is displayed.

When a sharer views the shares and assessments were enabled, the average of all recipient assessments for that specific share will display. The assessment decision displayed will be as follows:

  • No (thumbs down) - 0% to 25%

  • Unsure (Question mark) - 26% to 55%

  • Yes - 56% to 80%

  • Strong Yes - 81% to 100%

To view the details of every assessment or to view any comments from recipients the talent can be opened in summary or full view.

The actions that can be performed from the share is similar to the talent database including inviting talent to project rounds and sending messages. These are performed on the selected talent.

Additionally the share link can be copied and talent can be removed from or added to the share.

From within the share the access can be managed by selecting the “Manage Access” button. This will open the share options again.

When managing access you can remove recipients, change information and media that can be displayed and change the access.

When the “Add Talent” to the share is selected a talent db search dialog box is displayed and talent can be searched and added to the share.

NOTE: that by default the talent added to the share will inherit the access settings for the share e.g. the profile sections shared and media types shared. However all media of the specific types will be shared by default. If the media shared for the added talent is to be updated this must be done via the manage access dialog.

Viewing the share by the recipient

Whenever a share takes place the recipient will receive an email with a link to the share. NOTE that shares will only be visible to recipients if that are still active.

Restricted shares

When a share is set to restricted the recipient must be logged into JamarGig to access the share.

If the recipient does not have an account (external email) they can sign up.

If a recipient email is not registered the share link will take them directly to the account signup page.

If the recipient is an existing account user they will be taken directly to the login page.

When an external email user sign’s up they will be registered as a Client user.

They will only be able to access the shares that have been shared with their email address. They must register using the email address that was in the share.

If they try and register with an email that is not in the share they will get a permission denied error when they try and create the account.

Once an external user is logged in they will see a menu “Shared with me” on the left and then a list of the shares shared with their email.


When a share is opened a list of all shared candidates will be displayed.

To assess talent the user can either select the specific icon from the thumbnail (or table) view or they can open and assess from the summary/detailed view.

If the comments are enabled the recipient can also capture comments and save these.

Public Access (No Account Required)

A share can be created that does not require an account to view the share.

In this case the recipient can just select the link and immediately view the talent within a publicly accessible portal. The link will be a unique link and will only be accessible while the share is still active.


Public shares do not have access to assessment or comments.
