In person rounds - Groups

In person rounds also introduced the concepts of groups. Groups enable talent to be grouped to segregate talent and also enable talent to be shortlisted into different groups.

A talent can belong to multiple groups and a talent can be assigned to a group regardless of the status of the talent application. e.g. invited, applied, checked-in, audition number assigned.

Creating groups

The groups tab can be displayed and hidden using the slide out arrow on the left of the round screen.

  • When a talent is selected the group slider will automatically appear and the Assign to Group button will also appear.

  • Note the group slider can be expanded at any time to create groups

  • The slider will display all created groups and all talent not assigned to a group.

  • If a group is selected from the slider the talent will be filtered to that group

To create a group select the “New Group” button. A new group dialog window will then be displayed.

A group name will be created automatically however the user can change the name of the group.

If the applicants can apply for multiple roles within a round an additional option exists to restrict the role(s) a decision is applied against when a decision is made at the gallery level.

If a role or multiple roles are assigned to a group and a decision is made at the gallery level the decision made will only be applied to the roles associated with the group.

For example in the above case the talent was assigned to a group that has Production Dancers assigned. If the decision of Call Back is made at the Gallery level and the talent may have applied to or been suggested to other roles then the Call Back decision will only apply to the Production Dancers and not any other roles.

As you can see above only the Production Dancers role has been set to Call Back. The other suggested role of Production Vocalist is still set to On File.

If you would like to change the decision for any role individually you can just select the role and then change it's decision and select Submit.

IMPORTANT: If a talent is added to a group with a role and the talent did not apply to that role, when a decision is made for that talent at the gallery level the role added to the group will be automatically added to the talent as a suggested role.

The decision that is displayed in the gallery is always the most favourable decision to the talent for the roles that are assigned to the group.

For example in the illustration below, even though the talent a decision of Call Back for one of the roles they have been selected for, the decision at the Gallery level will still show Not Today as the role associated to the group (Production Dancers) has a decision of Not Today.

To make it obvious which roles have been assigned to a group, this is illustrated at the top of the talent listing area.

Assigning to groups

Talent can be assigned by selecting one or more talent and ragging them to the group that are to be added to. This is similar to how working cast list talent are assigned to roles.

Talent can also be added to groups by selecting one or more talent and then selecting the “Assign to Group” button. Note this button is displayed only when talent are selected.

When the button is selected a groups selection dialog will appear and a group can be selected from the drop down and then using the Add button the talent can be added.

Note when a talent is added to a group they are not removed from the source group. They will belong in multiple groups.

Also the thumbnail of each talent will contain the last group a talent was added to.

Removing from groups

To remove talent from a group select the talent and then select the ellipsis dots and select the “Remove from group” action. This will remove the talent from the group that is selected on the left. Note this action is only available when a group on the left has been selected.

When removing from a group a dialog should be displayed to double confirm. “Are you sure you want to remove <x> talent from this group?”

Deleting groups

If a group is selected then the under the ellipse menu the option to delete a group is available. When a group is deleted all talent within that group are also removed.

Before deleting a group a warning message should be displayed. “Are you sure you want to delete this group? All talent will be removed from this group when deleted.”
