Casting Talent using Working Cast Lists

JamarGig provides the ability to create multiple cast lists per production project. When you create a cast list you define which roles for the production you are going to cast in the list and who needs to review and approve the selected talent.

This is great if you have roles managed by different production teams or you have a long running production and continually need to backfill roles as you turnover cast team members.

Multiple Working cast lists can be created per project. Each working cast list is made up of:

  • Selected roles

  • Talent

  • Team members

When a cast list is created it must be named and roles from the project assigned. These are the roles that talent can be assigned to.

Once the cast list is created the talent in the project and roles assigned to the cast list are displayed.

To edit the name or change the assigned roles, select the pencil next to the cast list name at the top of the right hand panel.

If a role is removed from the cast list that had talent assigned a warning will be displayed stating: “Warning: Talent are assigned to this role in this cast list. By removing this role the talent will be unassigned from this role. Are you sure?

The options are “Confirm” or “Cancel”

If the role is removed the assigned talent will be un-assigned.

Assign talent to roles

Talent can be filtered based on decisions that have been made for the project or even decisions that have been made in a specific round.

To assign talent to a role you can either drag and drop the talent to the role or you can select the talent using the tick indicator and then select the role from the drop down at the top where all the talent will then be assigned to the role.

Send to client for approval

Once talent have been assigned to roles, the cast list can be sent for review. When the list is sent for review the invite/select client is displayed as is currently done.

Once sent, the client receives the notification/invitation they can register/login and review the talent.

The clients that have been sent the cast list for review are listed in a tab called “Client Team”.

This team can be edited at any time. To edit this list select the “Edit Client Team” and the current team will be displayed.

If clients are added then a message will only be sent to clients that have been added. A message will appear to let the casting know that added clients will be sent the message.

If a client is removed from the team they will no longer have access to the cast list.

If this tab is selected before a cast list is sent for review it will be empty.

However clients can be added to this tab at any time. If a client is added the “Add message” will be sent to added clients (only added clients will have the message sent).

If the “Send for Review” is selected a second time, the clients that were sent the cast list for review previously should be pre-selected in the list. Additional clients can be added.

Note that in this case a message is sent to ALL clients not just clients that have been added. Only when adding clients via the “Add Client Team” button will only added clients be sent a message.

Finalize List

When option called “Finalize List” is selected the list will be placed into read-only mode.

Approvals/Rejections can no longer be changed by the client and the cast can no longer change the cast list.

When Finalize Cast List is selected a dialog will be displayed.

This will display multiple options.

The first option is to set a date when access to the cast list will expire. Prior to this date the client will still be able to access the cast list however not make any approval/rejection changes.

The cast lead cannot make changes to the cast list however they can add clients to the Client Team by selecting Edit Client Team.

If a date is selected then after this date the client will not longer have access to the cast list.

The client team will still be listed in the Client Team tab however they will not have access and the “Edit Client Team” button will be disabled.

The only way to re-enable access to the reopen the list.

If the “Remove Access Immediately” is selected then the date field is disabled (ignored if a date was previously selected) and the client access is immediately removed.

Once a list is finalised a list can be reopened.

If a list is reopened the client can then access the cast list again and change approvals/rejections. Note no messages are sent unless the casting select Send for Review.


Client View

When a client clicks on the invitation to view a cast list they must either create an account (if this is the first time) or must login to access the cast list to review.

Once they login they will only see projects that contain cast lists that they have been given access to.

When a client selects the project they will see a table with one or more cast lists that they have been assigned to.


Once the cast list is selected the cast list is displayed. By default the first role will be selected.

If a role heading is selected then all the talent assigned to that role will be displayed.

If the chevron arrow is selected the role is expanded or contracted.

When a talent is selected their profile will be displayed for the client to review.

Once the talent have been reviewed they can either be approved or rejected by the client. The approval/rejection status will be displayed to the casting lead.
