Archiving Talent

If you have talent in your talent database that you think you don't have any suitable roles that you think they could fulfil in the foreseeable future, you can archive these talent to JamarGig One.

By archiving talent to JamarGig One, means that their profile will be moved from your talent database to the centralised JamarGig One database.

This provides the opportunity for these talent to be picked up by other organisations that have suitable roles for these talent. Archiving talent will also remove the talent from your talent database, thus freeing up talent profile and storage licenses.

Talent that have been archived will be able to be searched using the JamarGig One talent database tab (will be available shortly) and added back into your database if required. Archived talent will also not be blocked from recreating a profile in your site in the future.

The JamarGig team will also focus on incentivising talent in JamarGig One to ensure their profile is kept as up to date as possible, meaning you have more information available on talent in JamarGig One to confirm if they are suitable for roles.

IMPORTANT NOTE: Please do not archive talent profiles you believe are spam profiles or are profiles you believe are not entertainers. We want to give everyone opportunity, but that does not include people who are creating talent profiles for the wrong reason. These profiles should be deleted. Once deleted they will be blocked from creating a profile in your site in the future.

However before archiving talent there are a few things you need to consider.

  • Profiles that are archived will have all notes, communications, and past assessments deleted from there profile

  • Archived profiles will be removed from the talent database and any projects they have applied for previously.

  • Not all information will be archived including including some measurements

  • Any media that you have uploaded to the profile will not be archived

  • Any fields that are not visible to talent will not be archived

  • Tags will not be archived.

Once you have determined you would like to archive talent, navigate to the Talent database and filter the talent you would like to archive using the standard filters.

If you need to archive a larger number of talent use table mode (select top right table view switcher). This will enable you to select a bulk number of talent using the top checkbox.

Then select the top right ellipsis (3 dots) and from the drop down menu select "Archive".

Once you select the archive menu a dialog box will appear showing a warning message.

Once you have read the confirmation dialog and you confirm you would like to go ahead select the "Confirm" button.

NOTE: Once talent are archived the process cannot be undone so please be sure you would like to go ahead before selecting Confirm.

Once confirm is selected a process will be kicked off to move the talent to JamarGig One. Once the process has started they will be removed from your private talent database.

Talent who have been archived will also receive an email letting them know that their profile has been archived. In order to complete the process the talent must go to JamarGig One and consent for their profile to be moved. If they do not provide consent the move will not complete and after a specific timeframe their profile will be permanently deleted. the JamarGig One team will be responsible for following up with the talent reminding them to consent. Talent can also deny consent in which case their profile will be permanently deleted.

We will be releasing an additional tab in JamarGig shortly that will allow you to search JamarGig One for profiles. There will be minimum requirements for profile completeness in order for a profile to be searchable, so the profile will only be searchable if the minimum profile requirements are met.
